Privacy Notice
Last updated: 2026-07-10
This notice explains what personal data ScaleEngine collects, why, and the rights you have over it.
Who we are
ScaleEngine Ltd, a company registered in Scotland under company number SC878231, is the data controller. We are registered with the Information Commissioner's Office under reference ZC153108. Contact: lewis.lancaster@scaleenginegroup.com.
What we collect and why
We collect the information you provide when you submit the qualification form or book a call — clinic details, your name, your email address, and the items you choose to share with us. We use this information to evaluate fit and to arrange a conversation.
The legal basis is legitimate interest (UK GDPR Article 6(1)(f)): you have approached us about a paid service, we have a clear business reason to respond, and the processing is limited to that purpose.
Google Calendar data (connected-calendar feature)
When a clinic connects its Google Calendar to ScaleEngine, we ask Google for permission to view and edit events on that calendar. We use this access for one reason: to read existing appointments so we can show accurate availability, and to create, update, or cancel appointment events on the clinic's behalf. We do not read, collect, or store the content of unrelated calendar events beyond what is needed to manage bookings.
To keep the connection working, we store the access credentials that Google issues (the OAuth refresh token) encrypted at rest. We do not keep a copy of the clinic's wider calendar. A clinic can revoke our access at any time from their Google Account security settings, which ends the connection.
We do not sell this data, share it with advertising networks, use it for advertising of any kind, or use it to train generalised AI or machine-learning models.
Limited Use disclosure. ScaleEngine's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Retention
We keep enquiries for up to two years. If we begin a paid engagement, retention extends to the end of the engagement plus one year for tax and contractual records. You can ask us to delete your data sooner.
Your rights
Under UK GDPR you have the right to access, correct, delete, restrict or object to processing of your data, and to receive a copy in a portable format. To exercise any of these rights, email lewis.lancaster@scaleenginegroup.com. We will respond within one calendar month.
If you believe we have mishandled your data, you can complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113.
